By now you’re likely familiar with virtual events and have probably attended a handful of (if not many) virtual conferences, meetings, and webcasts over the past year. Maybe you’ve even been responsible for helping plan and organize a virtual event that was previously supposed to be held in-person. There are so many platforms to choose from when it comes to creating a virtual event that it really comes down to what your event’s needs are.
At Baldwin Audio/Visual Solutions, our custom setups and technical experience allow us to work with a whole host of different virtual event technologies, provide custom production and accessibility features, and then stream this to the appropriate channels where your guests and attendees can view the event. If you’ve ever wondered how this process is broken down, well you’re in the right place!
- Virtual Meeting Platform
The virtual meeting platform is where your presenters and panelists live. We will use the virtual meeting platform of your choice to bring your event’s live presenters and moderators into our virtual events studio. Popular and familiar platforms include Teams, Webex, Zoom, GoToMeeting, and Bluejeans. Organizations will sometimes have their preferred platform but each option offers unique features, so be sure to discuss your virtual event’s needs with us so we can guide you in the right direction!
- Baldwin’s Virtual Event Studio
Using our video production software, we will capture your live presenters and panelists, add the required production elements like your presentation content, lower third displays, multi-view layouts, and virtual backdrops. We’ll also add the required accessibility features at this stage including simultaneous interpretation (SI), sign language, and closed captioning. Baldwin even offers a SI and virtual event studio if you’d like to make use of our professional and safe setups.
- Streaming Platform
The third and final step is streaming the full packaged production to your chosen hosting platform. The streaming platform is where your guests and attendees will be able to view the event. We can work with Facebook, YouTube, LinkedIn, Instagram, and all the major virtual conferencing platforms like Whova, EventMobi, and PheedLoop. You may also choose to go with our custom webcast platform which allows you to create an all-inclusive custom site for your webcast’s guests.
Choosing the custom route also allows for your company branding, custom registration, and integrated attendee features such as live chat, polling, surveys, Q&A, and drop-down menus for your breakout rooms! We can incorporate third-party applications such as Slido, SurveyMonkey, and Mentimeter (just to name a few!) right into our webcast video player, allowing your guests to access these applications during the live broadcast easily and all in one place.
With all the different software available and the ever-changing digital environment, our technicians will walk your presenters through all required aspects of the software and how the production will flow. We make sure to run pre-event tests/rehearsals and are always there to answer any technical questions and assist in any way.
Baldwin Audio/Visual Solutions can also help you leverage networking, plenaries, and online registration capabilities that will save you time and money. So contact us today to learn more about virtual conference solution packages!
